Marketing, Events & Sponsorship Coordinator

Position Overview
Arts Missoula is seeking an energetic, organized, and relationship-driven Marketing, Events & Sponsorship Coordinator to help tell the story of Missoula’s vibrant arts community, support the successful production of Arts Missoula events, and build partnerships that strengthen our organization and its programs.
This is a dynamic position for someone who enjoys wearing several hats. One day may involve creating social media content and promoting an upcoming event; another may involve meeting with a potential sponsor, coordinating event logistics, or working with artists and community partners.
The ideal candidate is a strong communicator, a creative problem solver, and someone who genuinely enjoys connecting with people. They should be comfortable both behind a computer and out in the community representing Arts Missoula.
Marketing & Communications
The Coordinator will help maintain a consistent, engaging public presence for Arts Missoula and its programs.
Responsibilities include:
Develop and schedule engaging social media content across Arts Missoula platforms.
Create graphics and promotional materials for programs, events, membership, fundraising, and organizational initiatives.
Assist with the production of and informational gathering for Arts Missoula's weekly newsletter, bulletin board and open calls.
Maintain and update website content, event information, calendars, and online resources as needed.
Promote Arts Missoula events, programs, membership opportunities, artist grants, educational programs, and community resources.
Help tell the stories of Arts Missoula's artists, members, partners, sponsors, and community impact by collecting testimonials and encouraging interaction.
Define marketing timelines for major events and campaigns.
Create and coordinate press releases, media outreach, advertising, and other public relations efforts.
Maintain consistency with Arts Missoula's organizational voice, messaging, and visual identity.
Track marketing and engagement metrics to help evaluate what is working and where we can improve. Reporting to the board and the ED.
Event Coordination
The Coordinator will work with the Executive Director, staff, interns, volunteers, artists, vendors, and community partners to help produce Arts Missoula's annual events and community programming.
Responsibilities include:
Assist with planning and coordinating Arts Missoula events from preparation through event day and follow-up.
Maintain event timelines, checklists, vendor information, contact lists, and production details.
Communicate with participating artists, performers, vendors, sponsors, volunteers, and community partners.
Coordinate event marketing and ensure promotional materials and information are distributed on schedule.
Assist with event-day logistics, setup, signage, vendor needs, and troubleshooting.
Help coordinate permits, equipment, supplies, and other logistical needs as assigned.
Represent Arts Missoula professionally and enthusiastically at community events.
Assist with post-event follow-up, including sponsor recognition, vendor communication, documentation, and evaluation.
Work with intern and staff on coordination. Will assign tasks to intern.
Major events may include Germanfest, Missoula on Main, Dancing with Arts Missoula Stars, the Annual Arts & Cultures Awards, First Friday activities, membership events, Art on the Run, and other Arts Missoula programs and community partnerships.
Some evening and weekend work is required around events and will be counted toward flex time.
Sponsorship & Community Partnerships
A key component of this position is helping Arts Missoula develop and maintain the community partnerships that make our programs possible.
Responsibilities include:
Work with the Executive Director to identify prospective business and community sponsors.
Research businesses and organizations whose values and audiences align with Arts Missoula's programs.
Conduct outreach to prospective sponsors through email, phone calls, meetings, and networking.
Help develop sponsorship proposals, packages, presentations, and customized partnership opportunities.
Build relationships with local businesses and community partners throughout the year, not only when an event needs sponsorship.
Maintain accurate sponsorship prospect and contact records and track outreach and follow-up.
Coordinate sponsorship benefits and fulfillment, including logos, advertising, tickets, event recognition, signage, social media, and other agreed-upon benefits.
Ensure sponsors receive timely communication, recognition, and follow-up.
Assist with sponsor stewardship and renewal efforts following events and campaigns.
